We collect personal information necessary to offer a functional, secure, and user-friendly experience for both Parents and Providers.

A. Information Provided by Parents

  • Account Details: Name, email address, phone number, and physical zip code.
  • Child Profiles: First name or initial, age, grade, optional health/allergy requirements, emergency contact details, and any custom notes for the instructor.
  • Billing Info: Credit card metadata is securely collected and parsed directly by Stripe. We do not store raw card numbers on our servers.

B. Information Provided by Providers

  • Business Registration: Business name, address, taxpayer ID (EIN), professional licensing documentation, and insurance verification.
  • Instructor Vetting: Background check results, educational credentials, and identification details.
  • Financial details: Banking and routing info for direct automated payouts.

2. How We Use It

We process your personal information based on legitimate business interests and to fulfill our core services contract:

  • To facilitate enrollment, handle check-ins, and schedule classes on rosters.
  • To process transactions, complete bookings, and distribute provider payouts.
  • To maintain security on our platform, run background checks, and audit safety requirements.
  • To send booking confirmation emails, SMS alerts, and marketing newsletters (which you can opt out of at any time).

3. How We Share It

We do not sell, rent, or trade your personal data. We only share information to facilitate bookings and ensure child safety:

Sharing with Providers: When a Parent books an activity, we share the child's profile (name, age, medical notes, emergency contacts) and Parent name/phone with the booking Provider. This is critical for class rosters, child safety, and check-in procedures.

Sharing with Parents: We share Provider business information, listings, safety badges, and licenses publicly or directly with enrolled Parents.

Service Providers: We share data with reliable partners who perform essential operations (Stripe for payment processing, Twilio for transaction SMS, and Google Analytics).

4. Children's Privacy (COPPA Compliance)

ClubHaus takes child safety and privacy with utmost seriousness. We strictly comply with the **Children's Online Privacy Protection Act (COPPA)**.

🛡️ COPPA Safe Zone: We never knowingly collect or solicit personal information directly from children under 13 years of age.
  • No Child Accounts: Children are completely prohibited from registering accounts on ClubHaus.
  • Parental Consent: All child profiles are created, updated, and managed exclusively by the child's Parent or legal guardian.
  • Minimal Data Collection: We collect only the minimal data points necessary for the Provider to conduct safe activities (e.g., first name, age, medical notes).

If you believe we have accidentally collected personal data from a child under 13 without verifiable parental consent, please contact us immediately so we can remove it.

5. Security & Protection

We deploy industry-standard technical and organizational security measures designed to safeguard your information. All connection layers are protected by SSL/TLS encryption. Databases are secured behind access control rules, firewalls, and hosted in certified, hardened data centers.

However, no online data transmission can be guaranteed as 100% secure. While we work tirelessly to protect your information, you acknowledge that you transmit personal details at your own discretion.

6. Your Rights & Choices

Depending on your location, you have strong rights regarding your personal information, including:

  • Access: Request a complete copy of the data we hold on your account.
  • Correction: Modify any outdated or incorrect details via your user settings.
  • Deletion: Request that we delete your personal data (subject to specific transaction record obligations).
  • Opt-Out: Unsubscribe from marketing notifications by clicking "unsubscribe" in any footer.

7. Cookies & Tracking

We use cookies and equivalent browser storage technologies to maintain secure sessions, remember your filter preferences, and analyze platform performance.

We use Google Analytics to track general usage statistics and visitor behavior. This helps us optimize user flows, but the metrics are completely aggregated and anonymized.
